Below are important details for your planning purposes:
1. Hotel Rooms for your Sales Staff & Delegates Attending the Conference
To reserve a room on site at the Creta Maris/Terra Maris Hotel for yourself and your colleagues at the special conference package rate, please visit our web page:
There you will find a number of hotel options, from being located directly on the congress site (at the Creta /Terra Maris Hotels) to being only a few minutes away by walking or driving (Hotel Albatros or Hotel Silva Maris).
2. Rental of Booth Structure and Furnishings for Your Exhibit
Whether you have a standard 3 m x 3 m (circa 10 ft x 10 ft) floor space or an enlarged 6 m x 3 m (20 ft x 10 ft) space for your company, the location of this booth can be found at our web page:
In regard to the booth that will be erected on this space, there are two options:
A. You can rent the booth, signs and any furniture you require from the local exhibition display services company on Crete (who will erect them and then take them down afterward as part of the rental fee); or,
B. You can bring your own booth with you and simply arrange for incoming supply of electricity to your space.
A. Renting a Shell-Scheme Booth or Customized Design Booth
If you wish to order and rent a booth set-up, including panels, dividers, signs, shelves, tables etc., please contact our exhibition display services partner for this event - CretaPanel, located in Heraklion, Crete. The standard shell scheme booths they provide are made with melamine panels having aluminium profiles (in white). The structure is made of white stand walls (100 cm X 250 cm high) with octagonal poles (45 mm diameter) and fascia board. The people at CretaPanel will be there to help you select from all the different options, depending on your budget and exhibit space location.
CretaPanel can also provide highly customized stands in different colors and materials depending on your
requirements. They will supply quotes on whatever you may need. Just contact them.
B. Bringing your Own Booth
If you prefer to bring along your own booth to set-up in the space you reserved, you are free to do so without requesting our prior approval. In such a case, you have only to arrange with the appointed exhibition display services supplier (CretaPanel) a power source and supply of electricity for the event which is enough for computers, lighting and any other special needs you may have.

VERY IMPORTANT: To ensure timely planning and availability of all exhibit structures and signs, if you decide to use CretaPanel to rent and set-up your booth, we strongly suggest you finalize all your arrangements with them before March 25, 2009.
3. Shipping Exhibit Stands/Samples/Promotional Materials to Crete for the 2009 WORLD CONGRESS
All Sponsors & Exhibitors are required to make their own shipping arrangements when it comes to transporting booths, samples, literature, promotional material, etc. to Crete for the 2009 WORLD CONGRESS. We recommend that you use well-known international carriers such as Fedex, UPS, DHL, etc., making sure all necessary support documents are attached to your shipment to ensure no delays in clearing Greek customs. Your shipper can help you identify what these documents must be.

and you must make sure that these arrive on Crete no sooner than one week before the start of the event (in other words anytime after May 4, 2009 - but no sooner or else storage and handling charges may apply).
Please note that the dispatch voucher you provide to your appointed shipper should mention your company as recipient of the shipment at the Creta Maris Hotel and provide the following details:
1. your company name,
2. your company address,
3. the name of your contact person responsible for this shipment
4. the telephone and telefax numbers as well as email address of this contact person
Also, please ensure that all boxes are labeled clearly mentioning the 2009 WORLD CONGRESS ON INSULATORS, ARRESTERS & BUSHINGS May 10-13, 2009 so that hotel staff can quickly know where they should be placed for storage and delivery to the Exhibition Room on May 10 at the time of set-up.
IMPORTANT: Prior to your shipment, we ask that you notify the Manager of the Conference Centre in writing (by e-mail or by fax), identifying the route and date of delivery of the material, with all fees and taxes prepaid. We will provide the name and contact details of this person in the coming months. The hotel will bear no responsibility for the condition of the material as it is delivered by the shipper. The sender bears sole responsibility in case the mandatory legal measures required for the goods’ release from customs and all customs procedures are not properly followed. Again, we stress the need to find a reliable and reputable shipper.
4. Visa Requirements for Greece
Countries in the EU as well as other countries such as the United States, Canada and Israel do not need a visa to enter Greece. However, people who are citizens of certain other countries (e.g. China, Turkey, India and Russia) do require it. If necessary, we can help you to apply for any visa that may be needed by your staff by issuing official invitation letters.
To do so, we will require the following information for each person applying for a visa:

Passport Number and Date of Issue:
There is no official deadline for issuing these invitation letters but you are responsible to make sure you have enough time to receive them and still be able to make the necessary arrangement for a visa with the Greek embassy in your country. Better this be done as soon as possible to avoid any last minute disruptions to your travel plans.
